What does the Refund to Club Wallet setting do?

With this setting on, the club keeps the card payment and players get refunds as club wallet credit instead.

Written by Nettla

With Refund to Club Wallet switched on, refunds aren't returned to the player's card. Your club keeps the money and the player gets the refund as credit in the club wallet you choose. This also applies when a payment was only held and not yet charged: Nettla charges the card in full and gives the refund as wallet credit.

Turn it on

  1. Go to Settings → Rules & Limits.

  2. Open the Cancellations tab.

  3. Switch on Refund to Club Wallet.

  4. Under Club wallet used for refunds, choose the wallet.

  5. Click Save at the top right.

You need an active club wallet first. Without one, the setting won't stay on.

When it applies

  • Players cancelling their own bookings.

  • You cancelling a booking or removing a player. The refund options then read, for example, "Full refund (Club wallet)".

  • Refunds when a player is replaced by a substitute in a match.

  • Only for payments made at least partly by card, Apple Pay or Google Pay.

When it doesn't apply

  • Automatic cancellations of matches and activities. These are always refunded in full to the original payment method.

  • The adjustment after a pay-your-part session, when the lead booker gets back the shares other players paid. This goes back to their card.

  • Payments made only with a club wallet.

  • Recurring bookings. These have their own wallet refund setting on the Calendar → Recurring bookings page.

What players and your reports show

  • The player sees the full charge on their card and the credit in their club wallet.

  • The credit expires according to the chosen wallet's expiry settings.

  • The payment still shows as paid, and it's still counted in Insights → Sales activity.

  • Wallet refunds don't appear as refunds in Stripe, because the club keeps the card payment.

Consider carefully before switching it on

This changes what happens to players' money, and they will notice. Agree it with your business partners first and tell front-desk staff it's on, so they can answer players' questions.
