How far in advance can players book? (booking window)

Set how many days ahead players can book, when new days open, and longer or shorter windows for cohorts.

Written by Nettla

Players can book as many days ahead as your advance booking window allows. The default is 14 days, with new days opening at 12:00. You set it on the Booking Rules tab, and you can give cohorts such as members a different window.

Steps

  1. Go to Settings → Rules & Limits.

  2. Open the Booking Rules tab.

  3. Under Advance booking window — Standard players, choose the number of days (1 to 90).

  4. Under Daily release time for new booking slots, choose the time of day when the next date opens.

  5. Optional: under Advance booking window — Cohort players, click Add rule for cohort. Choose the cohorts, the number of days and the release time. Use the bin icon to remove a rule.

  6. Optional: switch on Let players join beyond their booking horizon.

  7. Click Save at the top right.

How it works

  • The window applies to booking a court and creating a match.

  • With a 5-day window, a player booking on Monday after the release time can book up to Saturday.

  • The release time stops players grabbing the furthest date at midnight. For example, with a release time of 12:00, the next date opens at noon each day.

  • A player who matches a cohort rule always gets the cohort rule, even if it's shorter than the standard window.

  • A player who matches several cohort rules gets the longest window.

Let players join beyond their booking horizon

With this switched on, a player with a share link can join a court booking or private match even if it's further ahead than their own window. It doesn't apply to public matches. This is useful when members organise games with guests who have a shorter window.

Good to know

  • Admins can create bookings on any date.

  • Defaults for a new club: 14 days, released at 12:00, no cohort rules, joining beyond the horizon switched off.
