In Nettla, Activity Types and Sessions can have automatic cancellation rules to help you optimize your schedule and improve activity occupancy.
Club controlled settings
As a club admin, you define:
Minimum number of participants required for the activity
How many hours before start the system should auto-cancel the session if the minimum hasn’t been met
These two settings work together to determine whether an activity goes ahead or is automatically cancelled.
Last-Minute Player Cancellations
To prevent last-minute cancellations from causing an entire session to be cancelled:
The same auto-cancel time window is used to control how late a player can cancel their spot
If a player tries to cancel after the cancellation rule has taken effect, they’ll be shown a message directing them to contact the club
This gives you, as an operator, control:
If you remove the player manually → the session may auto-cancel if it drops below the minimum
If you keep the player → the session stays active, even if it’s below the threshold
This system ensures fair cancellation handling and helps you avoid losing full sessions due to last-minute dropouts.
