How do automations work?

Automations send messages and take actions automatically when players join, book, stop playing, start a membership or have a birthday.

Written by Nettla

Automations are workflows that run on their own. When a player does something, such as joining your Player List or not playing for a while, Nettla can wait, check conditions, send a push or email, add them to a cohort or notify your staff.

This is a feature that Nettla switches on for your club. If you don't see Automations under Players in the sidebar, contact Nettla.

Triggers: what starts an automation

  • Joins the player list.

  • Joins a cohort.

  • Completes a booking or session: choose the booking types (court booking, private match, public match, activity, private coaching), optionally a specific activity or coach, and whether it's the first, a specific number or every time.

  • Hasn't played for a while: set the number of days without a booking.

  • Membership starts.

  • Membership expires soon: set the days before expiry. This only works for memberships without automatic renewal.

  • Birthday today.

For daily triggers you choose the time it runs (Run at), between 06:00 and 21:00 club time. You also choose How often can a player get this?: only once, every time, or at most once every set number of days.

Steps: what happens next

  • Delay: wait a set time, or until a time of day.

  • Condition: continue only if the player matches, for example number of bookings, an upcoming booking, membership status or type, gender, age or level.

  • Send message: a push (you can add the player's first name) or an email that uses one of your announcements as its content.

  • Add to cohort.

  • Notify staff: sends a note to your staff in the admin.

  • End: optionally move the player to a cohort.

Templates

You can start from a template: Welcome new players, First booking nudge, After the first game, Win back inactive players, Activity follow-up, Coaching follow-up, Celebrate milestones, Birthday greeting, Welcome new members and Renewal reminder. Or start from scratch.

Built-in safety limits

  • Players who have opted out of marketing from your club are skipped.

  • Nothing is sent between 22:00 and 08:00 club time. Messages are held until the morning.

  • A player gets at most 1 automated push every 48 hours and 3 every 7 days. This limit is shared with Nettla's booking reminders.

Good to know

  • Each automation shows its status: Draft, Active, Paused or Archived.

  • Open an automation to see emails sent, opened, pushes sent and skipped, and its email log.

  • You need the Automations permission.

  • See "How do I create an automation?" for the steps.
